How to use Offline Mode

Offline Mode downloads email from selected mailboxes so you can read it, compose messages, and save drafts offline. Emails queued to send sync when you reconnect.

Set up Offline Mode

  1. Open Settings and select Offline Mode.

  2. Turn on Offline mode.

  3. Choose how many days of email to sync.

  4. Select the mailboxes you want available offline.

  5. Turn on Download attachments if you want attachments stored on your device.

  6. Tap Sync.

A circular progress indicator shows the download percentage. While syncing, the button changes to Pause and displays a loading icon. When the sync is complete, the progress indicator disappears and the screen shows the last sync date and time.

Pause or resume a sync

Tap Pause while a sync is in progress. The download stops at its current progress, which is saved if you close and reopen the app.

To resume, return to Settings > Offline Mode and tap Sync. The download continues from where it paused.

View emails offline

After syncing your emails, turn off Wi-Fi and mobile data, then open the app. You can view the incoming emails that were downloaded to your device.

You can use the email list controls to:

  • Filter emails by read or unread status.

  • Toggle Hide Filed and Show Hidden.

  • Search email subjects and message text.

  • View starred emails.

  • Switch between All, Assigned to Me, and Closed.

Open an email to read its content. Images stored in the message are available, but images that need to load from an online URL may not appear offline. Downloaded attachments can be previewed, except for EML files.

You can reply to or forward an email while offline. The message will wait to sync until your device reconnects.

Delete emails offline

  1. In the email list, long-press an email to select it. Select more emails if needed.

  2. Tap the three-dot menu in the top-right corner and choose Delete.

  3. Tap Yes to confirm.

Compose and send an email offline

You can compose a new email or reply to or forward an existing email while offline. Add recipients, a subject, and your message. You can also format text, change the font and font size, add a comment with a user mention or tag, insert a signature, and set a scheduled send time.

To send immediately, tap Send or choose Send Now from the three-dot menu. The compose screen closes, and a message confirms: “Email will be sent once you reconnect.” The email appears in Outbox while it waits to sync.

When you reconnect, allow the app to sync. Then check Mail Activity to confirm the email appears as expected.

Save a draft offline

  1. Start a new email, reply, or forward.

  2. Tap the Save icon in the bottom menu.

A message confirms: “Draft saved locally. It will be synced when you're back online.” After reconnecting, wait for synchronization, then open Drafts to view the saved draft.

View or remove offline data

  1. Go to Settings > Offline Mode.

  2. Under Data Usage, tap View and Cleanup.

  3. Review Email Data Usage and tap Delete to remove downloaded emails from the device.

  4. Review Attachment Data Usage and tap Delete to remove downloaded attachments.

You can sync again later to download the selected emails and attachments.
